Who we are

Greater Horizons Limited provides children’s homes, supported accommodation and supported living services. For the personal information described in this notice, Greater Horizons Limited is the data controller.

Information we collect

Depending on how you contact or work with us, we may collect:

  • Names, contact details, organisation and professional role.
  • Recruitment details, role interests, application references and enquiry messages.
  • Referral details about a child, young person or adult, including support needs, risks, legal status, health or safeguarding information where necessary.
  • Documents supplied with a referral, such as risk assessments and care or pathway plans.
  • Basic technical and security information created when the website is accessed.
  • Questions and conversation context submitted to our AI powered chat assistant.

When a professional makes a referral about another person, they are responsible for ensuring they have authority to share the information and for providing any required privacy information to that person.

AI chat assistant

Our website includes an AI powered assistant for general information about our services, referrals, recruitment and contact routes. Chat messages are sent securely to OpenRouter and an AI model provider so a response can be generated. Please do not enter names, case details, medical information, safeguarding information or any other personal or sensitive information into the chat.

The assistant is not a human adviser and must not be used for emergencies, professional advice or submitting referrals. Its answers may not always be complete or accurate, so contact our team if you need confirmation. We apply request limits and may process basic technical information to protect the service from misuse.

How and why we use information

We use personal information to:

  • Respond to enquiries and communicate with the person who contacted us.
  • Assess referrals, suitability and our ability to meet individual needs safely.
  • Manage recruitment enquiries, applications and employment references.
  • Meet safeguarding, care, employment, regulatory and legal responsibilities.
  • Protect our services, website, staff and the people we support.

Our lawful basis depends on the purpose and may include taking steps at your request before a contract, our legitimate interests in operating and improving our services, compliance with legal obligations, protecting vital interests, or consent where it is appropriate. Where special category information is needed, we identify an additional lawful condition before using it.

We do not make decisions with legal or similarly significant effects using solely automated processing.

Sharing, security and retention

Information is available only to authorised people who need it for their work. We may share information with carefully selected service providers, local authorities, health or education professionals, regulators, safeguarding bodies or law enforcement where this is necessary and lawful. We do not sell personal data.
